Planning a Corporate Event on the Bosphorus

This is the planning guide — how to run the event, not what it costs. If you want prices, inclusions and the booking form, those live on the corporate yacht charter page. What follows is what we have learned from the events themselves.

1. Pick the format before the date

Most organisers start by asking which evening is free. Start instead with what the event is for — the format determines the length, the catering and the light you need, and the date falls out of it.

The two-hour minimum is a floor, not a target. A gala with a seated dinner and three speeches does not fit into two hours; a morning board session usually does.

2. Lock the boarding time, then work backwards

The single most common way a corporate evening goes wrong has nothing to do with the yacht: it is boarding. Fifty guests arriving over forty minutes with no list turns the first third of your event into a queue on the quay.

What fixes it, every time:

• Send a guest list in advance. Not for security theatre — so the crew can board everyone in one movement instead of checking names one at a time.
• Give guests one boarding time and one place. Boarding is from Karaköy; send them the walking route from our getting to Karaköy guide rather than a pin, because the last hundred metres is the part people get wrong.
• Build in fifteen minutes. Charter time runs from your agreed departure, so a fifteen-minute buffer between “arrive” and “cast off” costs you nothing and buys you a calm start.

3. Decide when the room goes quiet

If there is a speech, an award or a toast, tell us the exact point you want it to happen. The reason is physical: a moving yacht has engine noise, and a speech delivered over it reaches the front two rows and nobody else. We cut the engines for your speech — which means we need to know roughly when, so the route puts the city behind the speaker at that moment rather than a stretch of empty shoreline.

Send the run of show and the route gets built around it. Sent afterwards, it is a compromise.

4. Catering: match the service to the format

Catering and beverage service are arranged on request and quoted separately from the charter, so you are not buying a package you half use. In practice three levels cover almost every event:

• Coffee break and light bites — morning meetings and short client sessions.
• Cocktail service with canapés — networking, launches, anything where people should be standing and moving.
• Seated dinner — galas and awards. This one constrains the guest count more than the yacht does: a deck that holds a hundred standing holds fewer seated.

Dietary requirements, alcohol-free service and a separate crew or driver arrangement are all normal requests — put them in the brief rather than raising them on the day.

5. The numbers, honestly

Corporate charters follow the same model as every other charter we run: from €150 per hour for the whole yacht, minimum two hours, with catering and extras quoted on top. You reserve the yacht, not seats — your guests are the only people on board.

Two things worth telling your finance team early. First, the per-head figure improves sharply with group size, because the charter cost is fixed while the headcount is not; worked examples are in our Istanbul yacht rental price guide. Second, tell us at quote stage what the invoice needs to show and who it is issued to — the charter is contracted with AST Turizm, holder of TÜRSAB licence no. A-805, and getting the billing details right in the quote saves a round trip through procurement later.

Yachts take 12 to 200 guests; the largest come from our partner fleet, so an unusually big headcount is a question of availability rather than a hard no.

6. Season, light and the weather plan

An evening event lives or dies on when the light goes. In late June sunset holds until nearly 20:40, so a 19:00 boarding still gets you a full golden hour; in December it is gone before 17:40, which turns the same slot into a night cruise with the bridges lit — different event, equally good, but plan for it deliberately. Rain does not cancel a corporate event. There is a covered indoor lounge, and presentations run there as normally as they do on deck; our rain guide covers how weather is handled. Free cancellation applies up to 24 hours before departure, which is usually the deadline your own guest confirmations run to anyway.

A worked run of show — three-hour evening, 60 guests

• 18:45 — guests arrive at Karaköy, welcome drink on the quay-side deck
• 19:00 — cast off, cocktail service begins
• 19:40 — engines cut off Ortaköy; CEO speech and the award, city behind the speaker
• 20:00 — dinner service, music down to background level
• 21:15 — return leg under the bridges, music up
• 22:00 — alongside at Karaköy, guests off within ten minutes

Adapt freely — the point is that a run of show sent in advance is what lets the route, the catering and the engines line up with your programme instead of against it.

Getting a quote

Send the date, the guest count, the format and the run of show if you have one. You will get availability and an exact quote back — booking direct means no reseller commission comes out of your event budget, and the person who answers is the same person who prepares the yacht.
